ACCOMODATION POLICIES

 

Pinawa Motel Policies are presented here to help promote our guests’ safety and enjoyment and to ensure that each guest is aware of the understandings between the Pinawa Motel and the guest. Pinawa Motel guests are kindly requested to observe the rules, outlined in our Policies, so that their stay will be comfortable and safe. If guests do not observe these rules, Pinawa Motel will be obliged to cancel their accommodations with no refunds.

The safety of our guests, staff, and facility is extremely important to us, so we do our best to ensure that guests stay in Pinawa Motel as safe and comfortable as possible.

 

These Policies are considered as a part of our reservation agreement with you. As our guest, by reading and signing your registration form upon check-in you are agreeing to abide by all of our Policies, terms and conditions, and procedures. 

Pinawa Motel reserves the right to amend, modify, change, cancel, vary or add to these Policies at any time without prior notice. Pinawa Motel Policies are located on our website, in the Guest Information Book in each room, and available at the Front Desk.

RATES

Rates are in Canadian funds plus taxes (GST 5% & PST 7%).

Daily regular, seasonal, long weekends, public holidays, corporate (5-6 nights stay Sunday to Friday), long-term worker, weekly (7 nights) and monthly (30 nights) rates are available. Weekly and monthly rate is subject to availability, must be paid in advance. If check-out before a paid period is over, there will be no refunds/credits. 

Monthly, weekly and long-term worker rates are not available seasonally in May - September. 

All rates are subject to change without prior notice.

 

EXTRA PERSON / ADDITIONAL BEDDING

Rates are based on single or double occupancy. 

Children aged 12 and under stay free of charge, when accompanied by an adult and using existing bedding. 

Each additional adult (13 y.o. and up) guest is extra $20.00 + taxes per night. 

COT is available upon request at additional cost $20.00 + taxes per night. 

Maximum number of guests in a room is 4 persons.

GUARANTEE 

Guests must be 18 years or older to rent a room. 

Please be sure your stay dates are firm before confirming your reservation.

All reservations must be guaranteed with a valid major credit card Visa / Mastercard. 

Your verbal or written authorization to use your credit card number by phone or email indicates your compliance with the Pinawa Motel Policies.

PRE-AUTHORIZATION*** one night room rate + taxes will be applied to your credit card between the time of booking and a day of arrival to confirm the credit card’s authenticity. if a timely cancellation occurs, the pre-authorization will be cancelled. 

The cost of living will be charged by the motel, on site, during your stay.

***DEPOSIT of a full reservation amount + taxes is required at the time of booking. 

Deposits are accepted by credit cards Visa / Mastercard and e-transfers. If a timely cancellation occurs, the deposit will be refunded minus service charge.

 

Pinawa Motel reserves the right to refuse or cancel a reservation at any time for any reason. 

 

CANCELLATION / NO SHOW 

Pinawa Motel is not responsible for weather conditions, personal emergencies, or schedule changes. 

Written cancellation notice is required at info@pinawamotel.com

Reservations cancellation or change of arrival date must be done 48 hours*** prior to the original booking arrival date to avoid the first night room and taxes charged to your credit card. Any NO SHOW reservations will be charged one night room rate + taxes.

***Reservations cancellation or change of arrival date must be done 14 days prior to the original booking arrival date to avoid the full reservation amount and taxes charged to your credit card. Cancellation received 14 days prior to check-in date, deposit is refunded minus a $20.00 service charge per room. Cancellations received within 14 days or NO SHOW, deposits will not be refunded. 

 

GUEST REGISTRATION &  DAMAGE DEPOSIT 

Upon check-in all guests are required to present a proper photo identification. 

Payment in full for the entire stay is required at check-in with credit card, cash, interac/debit or e-transfer. 

DAMAGE DEPOSIT $100.00 (refundable on departure) is to be pre-authorized on your credit card upon arrival. 

If you intend to pay by CASH/DEBIT CARD/E-TRANSFER you will be charged room rates and taxes for the entire stay plus $150.00 (refundable DAMAGE DEPOSIT) to cover possible incidental charges. NO CHEQUES WILL BE ACCEPTED.

 

Pinawa Motel is not responsible for any loss of money or valuables of any kind if left behind during your stay and after check-out.

 

EARLY CHECK-IN and/or LATE CHECK-OUT is subject to availability. 

If late check-out is required please contact the Front Desk before 10:00 AM. 

If it is possible to stay later, the charge of $10.00 + taxes per hour after 12:00 noon will be applied. Any check outs after 03:00 PM will be subject to one night + taxes charge.

 

EARLY DEPARTURE 

A one night room rate + taxes will be charged to any guest that checks out prior to the original departure date. This charge may be avoided by providing a minimum 24 hour notice of departure change***

***NO refunds will be given for days lost through early departure or late arrival. 

 

PARKING

Parking is free for Pinawa Motel guests but at owner's risk. 

One vehicle per room. Please park in front of your room. 

Parking on lawns is prohibited, the $50.00+taxes penalty will be charged.

 

WiFi ACCESS

Access to our WiFi is free for our registered guests. 

WiFi signals are subject to change without notice depending on the room’s location, the status of our WiFi equipment. Pinawa Motel assumes no liability for guest use. 

HOUSEKEEPING 

Housekeeping is daily, twice or once a week depending on accommodation length. Housekeeping is provided between the hours of 08:00 AM - 04:00 PM. Housekeeping may start as early as 07:00 AM during summer season. 

Daily & corporate rate – daily housekeeping, weekly rate – twice a week housekeeping, monthly rate – once a week housekeeping. 

If you would prefer not to have your room serviced or vice versa, need your room to be cleaned, please notify our housekeeping staff by slipping your door tag underneath the door with “DO NOT DISTURB” or “PLEASE HAVE ROOM MADE UP” facing up.

BUT in a case of need or in an emergency, a motel staff has the right to enter any room at any time.

 

QUIET HOURS & VISITORS   

Televisions, voices, or other devices must be kept at a respectful low level at all times.

QUIET HOURS: from 11:00 PM to 08:00 AM.

Two visitors per room. 

More visitors need prior permission from the Front Desk before arrival.

Visitors are not allowed to use guest amenities. 

As a registered guest, you are responsible for your visitors at all times. 

NO VISITORS and LOUD disturbances and NOISE after 11:00 PM. 

In the event of a disturbance, one polite request (warning) will be given to reduce the noise. If our request is not followed, the guest will be asked to leave the motel without refund. 

 

ILLNESS and EPIDEMICS / COVID-19 UPDATE

Pinawa Motel guests acknowledge risks related to the spread of infectious or contagious diseases. It remains the customer's responsibility to take the necessary precautions applicable to any health hazards, including but not limited to COVID-19. 

Pinawa Motel reserves the right to refuse accommodations to a guest arriving with a contagious disease. In case sickness occurs during stay, please notify the Front Desk staff. In the case of serious sickness, you may be requested to receive appropriate health care from a nearby healthcare facility. During epidemics we are entitled to employ precautionary measures within our judgment or as required by local authorities. We may charge you a room cleaning and disinfecting fee as we deem appropriate under the circumstances.

NO SMOKING / SMOKE-FREE

All forms of smoking (tobacco, marijuana, cannabis, illegal drugs, e-cigarettes, vape pens, vaping, cartridges containing the liquid of nicotine, hookahs, incense, cigars, cooking, candle burning, the use or diffusing of patchouli oil or other strong-smelling plant-based essential oils or synthetic products) are not permitted in anywhere in Pinawa Motel and within 30 feet of entries and windows.

Candles, incense, and essential oils are prohibited. These items will be treated as smoking. 

 

This policy is not intended to stop people from smoking, but to regulate where they smoke and how it affects others.  A Designated Smoking Area is at the end of the building from the river side of the motel with the ashtray provided. Marijuana/Cannabis is prohibited at all times.

Evidence of smoking in a room will result in a $300.00 + taxes cleaning charge.

 

NO-COOKING / COOKING APPLIANCES 

Except for the microwave, refrigerator and coffee maker units that Pinawa Motel provides, preparation of food in guest rooms by any type of cooking appliances is prohibited.  A $300.00 + taxes fee will be charged for cooking in a room, including, but not limited to hot plates, toasters, ovens, water heaters, rice cookers, combustible, open flame, barbecue grill, burners, heating appliance, or any other item intended for cooking. In case of any damage related to the use of electrical appliances the guest must compensate for all damages.

 

Each room is equipped with smoke and heat detectors. In case of turning on the FIRE DETECTION SYSTEMS due to the fault of the guest, the $1100.00 + taxes penalty will be charged and the guest will be held responsible for any moral or physical damage caused to all affected by this event. 

 

BEVERAGES / TEA / COFFEE in a room

Spring WATER (Kirkland), coffee and tea is a compliment to our guests.

Prices for other beverages in a room you can find in your room or at the Front Desk.   

You can leave cash on the table, pay at the Front Desk or it will be charged to your credit card after your departure. All prices are subject to change without notice.

OUTDOOR / PICNIC AREA

Feel free to use one of our outdoor BBQs and Fire Pit. 

Firewood is for sale at the Front Desk. It's illegal to take wood on the adjacent neighboring private land. 

Please observe the safety rules when using barbecue and open fire! 

Use of BBQ is min 10 feet from the building.

Please do not move indoor and outdoor furniture without the approval of the administration. Please keep the inventory and picnic area clean.

DO NOT LEAVE GARBAGE and FOOD outside. BE BEAR SMART!

 

DAMAGE and/or THEFT 

Guest Rooms found with waste strewn around, in complete disorder, and/or “trashed” will be subject to maintenance deep cleaning fee.

Damage to rooms, fixtures, furnishing and equipment including the removal of electronic equipment, towels, art work, etc. will be charged at 120% of full and new replacement value plus any shipping and handling charges. 

Any damage to motel property, whether accidental or willful, is the responsibility of the registered guest for each particular room.  Any costs associated with repairs and/or replacement will be charged to the credit card of the registered guest.

Damage to mattresses and linen including; towels, mattress pads, sheets, bedspreads, blankets resulting from the use of body oils, make-up, shoe-polish, etc. will result in a charge for the special cleaning, repair or replacement of the damaged article.

Missing items will be billed at the applicable rate + taxes.

 

PETS

Pets are not permitted at Pinawa Motel.

There is only one pet-friendly room upon request. Subject to availability.

An additional fee is $30.00 + taxes per night per pet. (dogs only UP TO 6kg, max 2)

Pets are never allowed in a non-pet room. If your pet or evidence of pets is found in a non-pet room there will be an additional charge of $250.00 + taxes to your credit card.

The guest with a pet is obliged to read and confirm with the signature the acceptance of PET POLICY.
